
Frequently Asked Questions
As this marks the 4th year we use the Custom Budgets
application in HRMS to prepare our Budgets, we would like to share some
frequently asked questions (FAQ).
While some items have been covered in training, and
other items covered in our FAQ list last year, we have updated the list
to include new FAQ's.
We hope that this information will be helpful to all
Budget Users as you prepare your FY2008 Budgets.
Where do we budget faculty incentives?
If an incentive is not considered as part of the faculty's augmentation
or supplemental salary, then it can be put into 61004 for budgeting
purposes. Once the budget is loaded in FMS, it should be transferred
from pool 61004 to 61001 using a Budget Transfer.
In what pool do we budget merit increases?
Merit increases should be applied to the individual's salary. If you
wish to establish a merit pool to be given out later, then budget the
amount in budget pool 61004 (Other Wages).
Can we budget negative amounts in the Revenue tab
on the Line Item Budget Data page?
Yes. For example, if you are using 55205 to transfer out funds, you
would use the minus sign in front of the amount. The other commonly
used transfer account is 55204. (See page 12 of the Budget Instructions).
Note: Expense Budgets must equal Revenue Budgets.
What is the load date for the Position Budget Data?
The initial load date for Position Budget Data is April 10th. Any new
hire or vacant positions will be selected from HRMS and loaded nightly
in Custom Budgets.
Why can't I find all my Budget Centers on the Line Item
Budget Data page?
Only non-project Budget Centers are listed on this page. To
find a Budget Center associated with a project that is used to fund
someone, use the search page for the Salary Detail list by Bud Ctr (Home>UTHSC
Menu>Custom Budgets>Use>Salary Detail List by Bud Ctr). More
details can be found beginning on page 1-36 of the of the PeopleSoft
UTH Budgets training manual.
If I have a new hire "during the budget process", how
will they get added to the budget module?
New hires are added to Custom Budgets through a nightly process. After
the new hire PA has been updated in HRMS and the effective date of the
PA is equal to the run date, the data is extracted and loaded to Position
Data Entry.
Why can't I find an Emplid?
The Position Budget Data Entry component contains existing positions
within your HRMS Department that are not casual and that meet the ALPS
criteria: the Employee Status field is Active, Leave of Absence, Paid
Leave or Suspended. More details can be found beginning on page 1-21
of the PeopleSoft UTHSC-H Budgets training manual.
What about cell and Blackberry supplements?
No Cell or Blackberry earn codes are recorded in the
Position Budget Data Entry page. However, they can be recorded in the
Line Item Budget Data page for all funds excluding projects. Enter a
lump sum budgeted amount for cell/blackberry earn codes in the Expenses
tab using Budget pool 61004 (Other Wages).
What about longevity?
Longevity is not recorded in the Position Budget Data
Entry page. However, it is recorded in the Line Item Budget Data page
for Designated, Service, and Auxiliary Funds. Enter a lump sum budgeted
amount for longevity in the Expenses tab using Budget pool 61004 (Other
Wages).
As a tool we have created a Longevity report to assist you in preparing
your operating budget for non-state funds. HRMS path: Home>UTHSC
Menu>Custom Budgets>Reports>Longevity Report. This report can
be requested by Budget Year and Position Department ID. Listed is an
employee's annual longevity dollar amount, regardless of fund for people
who are currently receiving longevity in HRMS production and who are
loaded in the Budget Module.
