POSITION SUMMARY:

Provides oversight for the general administration of medical student services and the matriculation and tenure of medical students. 

POSITION KEY ACCOUNTABILITIES:

  1. Administers the Master Advisory Program, designed to facilitate the first-year students' transition to medical school.
  2. Recruits and orients faculty advisors and evaluates program annually, reporting to the Faculty-Student Relations Committee on which the incumbent sits.
  3. Administers professional proctor program through which proctors are recruited, trained, and assigned to proctor licensing examinations and regular medical school tests.
  4. Administers scholarship funds; approximately $150,000 in scholarships are awarded annually.
  5. Serves as Executive Chief Proctor for the National Board of Medical Examiners (NBME) and oversees the school’s administration of the program and of subject examinations used as final examinations in about a dozen courses and clerkships. Maintains and disseminates score and performance data for licensing examinations. Certifies student applications and registration lists for USMLE. Interprets and communicates National Board policy.
  6. Talks to students experiencing academic difficulty and discusses where appropriate the Alternate Pathway and remediation options and requirements.
  7. Works with the Organization of Parents and Friends, coordinating fundraising efforts with the HSC Development Office, and oversees two mass mail outs to the parents annually.
  8. Coordinates graduation activities, including engagement of space; ordering regalia; preparation of graduation program; identification of, negotiation with, and hospitality for graduation speaker; identification of faculty marshals and stage party; the Awards Ceremony and reception; and the post-graduation reception.
  9. Assists in the annual budget development, approves expenditures, oversees deposits, and is responsible for seeing that University fiscal policies are followed.
  10. Manages Human Resources activities of department in regards to: recruiting and selecting, hiring and termination, training, professional development, mentoring, counseling, performance evaluations, and salary planning.
  11. Responsible for the design, execution and effectiveness of a system of internal controls which provides reasonable assurance that operations are effective and efficient, assets are safeguarded, financial information is reliable, and compliance with applicable laws, regulations, policies and procedures.
  12. Performs other duties as assigned.
