Summary

    Function:  To perform proficient clerical and stenographic skills (of some complexity) for a position that reports to the chief of the section of neurosurgery.  The position requires independent judgment and knowledge of medical terminology. 

    Scope:  Performs a variety of duties on own responsibility under conditions where there is little opportunity for direct supervision.  Will frequently deal with students, department supervisors, and the public (patients, community physicians, etc.) 
     

    Duties

    Typical Receives calls forwarded by the administrative clerk, referring calls requiring the Chief's attention and handling all others. 

    Handles and reads incoming mail; composes and types routine correspondence (requires knowledge of departmental operations and regulations).  Utilizing dictaphone and Word, transcribes, proofs and edits correspondence composed by the chief of the section.  Transcribes and prepares manuscripts and book chapters, research papers, etc. 

    Obtains information and communicates that information to the clinical personnel concerning clinic patients to assure that all needed information is available at the time of the patients' appointments. 

    Schedules pre-admissions for patients through the admissions office at Hermann Hospital to assure that the patients' admissions run smoothly and that beds are available. 

    Maintains the Chief's calendar; notifies the Chief of changes. Sets up meetings as instructed or as required, notifying all necessary parties. 

    Interacts with the Chief Resident of service regarding scheduled admissions and the surgery schedule for the Chief of Service; refers consultations to the residents for patients on other services. 

    Responsible for the ordering of office supplies for the division and maintains all associated records.  The actual function is handled by an administrative clerk. 

    Keeps all membership dues of various societies and organizations up to date; maintains subscriptions to all medical journals. 

    Supervises the activities of one administrative clerk.

    Periodic Researches information at the medical library necessary for the preparation of manuscripts, reports. 

    Prepares agenda on matters for consideration at committee meetings. 

    Sets up and types financial, statistical and textual reports from work sheets.
