Types of absenteeism

This table provides definitions for terms relating to absenteeism:

Unable to work during regular scheduled working hours

Excused absence

Time off approved after the missed date(s) for:

Illness

Death in the family

Emergency vacation

Unexcused absence

Unapproved time off when an employee:

Is unable to provide an acceptable reason for an absence

Fails to follow guidelines for reporting unscheduled time off

Excessive absenteeism

One or both of the following:

Six or more separate episodes of unscheduled days off within any 12-month period

Absenteeism that exhibits an identifiable pattern of unscheduled days off, unrelated to a diagnosed serious illness or injury, that negatively impacts the employee's performance or job expectations

Exceptions:

Pre-approved leave time

Time off due to workers' compensation injury

Hospitalization/recovery

Time off under the Family Medical Leave Act (FMLA)

Time off protected under American Disabilities Act (ADA) as a result of a request for reasonable accommodation

Emergencies

Emergencies are handled on an individual basis.

Unscheduled absence notification

Employees must personally contact their supervisor for each unscheduled absence as follows:

Staff Type

Nursing department: Nursing supervisor/staffing center

Non-nursing department: Supervisor

Eight hours before scheduled shift start time on initial day of absence and each day thereafter that occurs on Monday through Friday and twenty-four hours before scheduled shift start time on initial day of absence and each day thereafter that occurs on Saturdays, Sundays and holidays.

Four hours before scheduled shift start time on initial day of absence and each day thereafter

Not requiring replacement staff coverage

Supervisor

One hour before scheduled shift start time on initial day of absence and each day thereafter

Approval process

This table describes the approval process for unscheduled time off:

Stage

Description

Employee completes a Time and Attendance Request form for the unscheduled time off.

Employee submits the form to his/her supervisor as soon as possible.

Supervisor approves or denies the request.

Supervisor indicates his/her decision on one or both of the following and forwards the approved forms and punch details to Personnel Systems Management:

Employee Punch Detail Report

Supervisor notifies employee of his/her decision.

Repercussions

Supervisors address excessive occurrences of absenteeism, tardiness, and early out on an individual basis.
