Introduction
Individuals are prohibited from using UT-HCPC resources to disseminate broadcast email messages as well as responding to all recipients of hospital-wide messages. Only information or messages approved by HCPC management will be emailed directly to all hospital staff email addresses by a member of hospital management.
Exception
Members of the Management of Information Systems Department may disseminate information regarding important computer access or software information. Facilities Management staff may disseminate important facilities information. Executive Assistants in Administration may disseminate information on behalf of Administration. The Chair of the ACE Committee may send periodical information regarding ACE activities.
Employee responsibility
Employees are responsible for communicating important information to their manager or any member of the management group that they deem needs to be communicated across the hospital.
Management responsibility
Only managers and the staff mentioned in the exception portion of this policy will have access to disseminating hospital-wide emails. Messages by all other staff may be sent to a member of the management group with contact information for consideration of broadcasting the requested information. If, in the judgment of management or Administration, the content of the message is appropriate to be broadcast to the hospital community, the manager will disseminate the message. If necessary, the manager will consult with university officials in order to make this determination.
Consequences
Failure on the part of any individual to comply with institutional policies relating to email and internet usage, may result in disciplinary action.
