Research Admissions Process

Psychiatric research

It is part of UTHCPC mission to conduct research into the causes and cures of mental illness.

Requests for candidates

Research candidates may be requested by the following:

Chief resident or short call resident after hours

Attending physician

Principal investigator/designee

Candidate recruiting

Research candidates are recruited to UTHCPC by the following:

Requesting specific kinds of patients from the general UTHCPC admission pool (UTHCPC admit pool, inside UTHCPC)

Requesting candidates from the University of Texas Department of Psychiatry (outside of UTHCPC)

Approval authority

Approval authority from the UTHCPC Admission Pool are the following:

Chief resident (or short call resident after hours)

Attending physician

Principal Investigator/designee

Notification: In both cases, the authorizing physician must notify the registration clinician when s/he approves the proposed patient.

PG4 resident responsibilities

The responsibilities of the chief resident under supervision of the attending physician are as follows:

Acts as a research triage liaison between the principal investigator and the patient registration clinician for assignment of protocol-related patients

Identifies a patient from the UTHCPC Admit Pool or asks the attending physician to request a patient from UT Psychiatry for a UT Admission

Assesses appropriateness and evaluates the patient for protocol criteria and contacts the principal investigator or research assistant in charge of the study

If the patient meets criteria for admission, contacts the UTHCPC patient registration clinician on duty to admit the patient

Principal investigator responsibilities

The principal investigator or the research assistant responsibilities are the following:

Coordinates assessments of the appropriateness of the protocol criteria with the attending physician, Chief resident, or other designated Residents

Once the patient is identified as appropriate for the study, sends email to "Research Billing", which notifies all parties of patient's classification change

Registration clinician responsibilities

The patient registration clinician/designee performs the following duties:

Receives the email notification from the principal investigator or research assistant and enters the information into the Allegra system as directed

Contacting registration clinician: Only individuals with approval authority may contact the registration clinician regarding research admissions.

Determining where to assign research patients

This table indicates how the patient registration clinician assigns research patients to the principal investigator's unit:

The patient arrives

Assigns research patients to a treatment unit

A bed is available on the unit

Assigns the patient to the principal investigator's unit

The patient already resides in a bed on another unit

Reassigns the patient to a bed in the principal investigator's unit as a bed becomes available

An open bed on the principal investigator's unit will be available within 30 minutes

Assigns the patient to the principal investigator's unit

Note: The patient remains on existing treatment unit until the bed is available

An open bed is not imminent

Does the following:

Admits the patient per rotation

Transfers the patient when a bed is open on the principal investigator's unit

Notifies the principal investigator
