Forms

The department manager initiates a recruitment Personal Action (PA) form that contains the following:

The job code and title

Account number

FTE

Shift

Any special recruitment requirement

Process

This table describes the process of recruiting and hiring:

The department manager

Initiates a PA form and forwards it to the designated director for approval

The director

Signs and dates that the position is budgeted and determines the budgetary constraints

The administrative assistant in Personnel Systems Management

Receives the form and notifies the Human Resources department to start the recruiting process via posting of position on the HR job website

The recruiter

Contacts the department manager to determine the following:

Specific position requirements

Recruitment strategy
Example
: Job postings, newspaper, advertisement, review of internal candidates

The department manager

Interviews and maintains candidate applicant log by completing the status of each applicant once the final candidate has been selected

Notifies the recruiter when a candidate is chosen for the position

The recruiter

Determines and communicates a recommended salary to the department manager

The recruiter

Does the recommended salary exceed the salary amount indicated in the notification form?

If yes, contacts the department manager and the Director, PSM to work out budgetary constraints and the process continues to stage 8

If no, agrees with the department manager and the process continues to stage 8

The recruiter

Checks references, criminal background and extends the job offer to the candidate

Schedules the new employee for a pre-employment physical and orientation

Notifies the Personnel Systems Management department

Enters new hire information into PeopleSoft HRMS system

Completes online candidate applicant log
